How to Address Duplicate Companies in Address Book
Did you know you cannot delete a company in Address Book if the company was used anywhere in PJ, AP, AR or Estimating? Here is what some of our users do to address a company that is no longer active:
• Mark the company as “Inactive”.
• If you have multiple entries of the same name change the name to ‘Company Name – DO NOT USE-‘ ----OR---- Change the “Sort As” name to just “DO NOT USE” and leave the “Company Name” as the company name – that way, things will still print correctly with the right company name, but when you search for “Industrial Door” (for example), it won’t find the one that has been renamed to “DO NOT USE” and will only find the ‘real’ one.
• Also, make sure all the “Person” contacts are linked to the correct “Company” entry.
• Another tip-----Also, make sure all the entries for employee reimbursements (when you cut a check to an employee, there is an AP Vendor with the employee’s name, which means there is an AB Company with the employee’s name) are marked ‘inactive’ and/or change the “Sort As” Name of that ‘company’ to “AP USE ONLY” so no one accidentally picks the ‘company’ that is actually a person when they are trying to pick the person.
